An inspection report can run to dozens of pages of photographs, condition ratings and technical notes — and still leave an asset owner unsure what to actually do next. The report is not the deliverable. The decision it supports is. Here is how to read one the way the engineer who wrote it intended.
Most inspection reports score the asset, or its components, against a defined condition scale — commonly something like a 1-to-5 rating from "as new" through to "failed / immediate action required." The rating is the report's headline conclusion. Photographs and narrative notes exist to justify that rating, not to replace it. If a report has no clear overall rating, or if the rating and the narrative do not obviously agree, that is worth querying before acting on either.
Component ratings versus an overall rating
A well-structured report usually rates the roof, walls, floor, coating, fittings and appurtenances separately, then rolls those up into an overall asset condition. A single poor-condition component — a failed roof seal, for example — can and should drag down the overall rating even if the tank shell itself is sound. Read the component breakdown, not just the summary line.
Severity, not just presence
A report noting "coating disbondment observed" and one noting "coating disbondment, widespread, substrate corrosion visible" describe the same defect type at very different severities. Look for the qualifiers — extent, depth, whether the defect is active or historical — not just whether a defect was found at all.
"Monitor" versus "action required"
Competent reports distinguish between defects to note and re-check at the next inspection cycle, and defects that require intervention before then. Confusing the two is the most common way an asset owner under-reacts to a report — treating an "action required" item as routine because it appeared alongside several "monitor" items in the same section.
A good inspection report does not just describe what was found. It tells you, in plain terms, what happens if nothing is done — and by when that stops being an acceptable answer.

What is the most important part of a tank inspection report?
The recommendations section and the overall condition rating. Everything else — photographs, defect notes, component ratings — exists to support and justify those two conclusions. If those two elements are unclear or missing, the report has not done its job regardless of how detailed the rest of it is.
How do I know if a defect needs urgent action or can wait until the next inspection?
A properly written report will say so directly, usually with a timeframe or priority rating attached to each recommendation. If a report lists defects without indicating urgency, that is a gap worth raising with the inspector rather than guessing at the priority yourself.
Should I compare a new report against the previous inspection?
Yes — trend is often more informative than a single snapshot. A defect that has stayed stable across two inspection cycles carries a different urgency to the same defect that has visibly worsened, and that comparison is only possible if the previous report is reviewed alongside the current one.
